Role Overview

We are looking for a dependable, versatile Virtual Assistant to join our remote team. This role covers a variety of work, including handling incoming client calls, scheduling, CRM updates, and general admin support, so we're looking for someone comfortable wearing multiple hats, not just doing one task on repeat.

You will serve as the receptionist for multiple business owners at once, answering their calls and handling client communication. You are the voice of the business: callers will judge the business by how you sound, so a calm, professional, and friendly phone manner is essential.

You'll also be relied on for scheduling, follow-ups, and day-to-day admin coordination across our client accounts.

We are looking for candidates who already have virtual assistant experience supporting Canadian or US businesses, including experience answering live phone calls (not just email/chat support), and who are familiar and comfortable working across Canadian/US time zones.

This role must be your primary job during your shift, not something you do alongside another position or employer.

Important: Fluent English (North American professional standard) is mandatory. Applications that do not meet this requirement will not be considered.

Important: This is not a call center or BPO role. You will be part of a small, dedicated remote team.

Important: We need someone who works independently. If you need regular check-ins or step-by-step direction to get through your day, this role is not a fit.

Note: Students are not eligible for this role.

Training is provided after hire, but this is not an entry-level role: we're looking for someone who already has the experience listed below, not someone learning the fundamentals on the job.

This is the single most important trait for this role: we are looking for someone who manages their own work without being chased.

  • You take ownership of your tasks from start to finish, without needing reminders.
  • You notice what needs to happen next and act on it, rather than waiting to be told.
  • If something is unclear, you ask once, get an answer, and don't need to ask again.
  • You flag problems and blockers proactively, before they become someone else's emergency.
  • You can be trusted to run your shift with minimal oversight once trained.
  • If you don't know how to do something, you figure it out yourself first, using a Google search, a YouTube tutorial, AI tools, or trial and error, before asking. Asking is fine once you've tried; asking instead of trying is not.

What Success Looks Like

  • Calls are answered promptly and professionally, every time.
  • Messages, bookings, and inquiries are captured accurately and passed on without delay.
  • Missed calls and voicemails are followed up on the same day, without being asked.
  • Client information stays organized and up to date in our systems.
  • Admin tasks and follow-ups are completed on your own initiative, not after a reminder.
  • You spot the next best action on your own and take it: the team should never need to chase you for status updates.

Key Responsibilities

1. Call Handling & Client Communication

  • Answer incoming calls professionally on behalf of client businesses.
  • Take accurate messages, answer basic questions, and escalate anything urgent.
  • Follow up on missed calls and voicemails promptly.
  • Communicate clearly and warmly with callers: this is the first impression of the business.

2. Scheduling & Follow-Ups

  • Book, confirm, and reschedule appointments as needed.
  • Keep calendars accurate and avoid double-bookings.
  • Follow up on open items so nothing is missed.

3. Administrative Support

  • Update client records and notes in our CRM (Go High Level).
  • Assist with data entry, organizing files, and task tracking.
  • Support other small admin or coordination tasks as assigned.

4. Social Media Support (Nice to Have)

  • Not a required skill, but a strong plus: comfort with Canva and basic video editing.
  • Ability to put together simple Instagram-style edits/reels using Canva or similar tools.
  • If you have this skill, you may be asked to help with light social media content support alongside your core tasks.

Experience

  • 1+ years of experience as a Virtual Assistant, Administrative Assistant, receptionist, customer service rep, or similar client-facing support role, supporting Canadian or US businesses.
  • Must have hands-on experience answering live phone calls professionally, not limited to email, chat, or written support.
  • Familiar and comfortable working across Canadian/US time zones.
  • Experience handling a variety of tasks, not just one repeated function.
  • Comfortable speaking with customers/clients you've never met, staying calm and clear under pressure.

Communication

  • Strong spoken and written English, at a North American professional standard.
  • Confident handling live phone calls: clear pronunciation, active listening, and a friendly, professional tone.

Software & Computer Skills

  • Comfortable using a computer daily and learning new tools quickly.
  • Basic familiarity with scheduling tools, CRMs, or willingness to learn (we will train you on Go High Level).
  • Nice to have: experience with Canva, including basic video/reel editing for Instagram-style content. Not required, but a strong plus.

Professional Standards

  • Reliable and punctual: available for your full shift, every shift.
  • Organized, detail-oriented, and able to work independently with minimal supervision after training.
  • Self-directed: takes initiative, follows through without reminders, and anticipates next steps rather than waiting for instructions.

Technical & Workspace Requirements

You must provide your own setup.

  • Reliable high-speed internet suitable for calls.
  • A quiet, professional space free of background noise during your shift.
  • A quality headset or headphones with a microphone.

Work Hours & Availability

  • Location: Remote (candidates in the Philippines, India, Africa, South America, and similar time zones welcome to apply).
  • Time zone: Pacific Time (PT), Canada/USA.
  • Shift: 1:00 PM – 8:00 PM PT (7 hours). Depending on where you live, this may fall overnight or in the early morning in your time zone. Please convert to your local time zone and only apply if you can reliably commit to these hours every day.

  • When you hit something you don't know how to do, your first move is to ask someone rather than try to figure it out yourself.

Compensation & Role Type

  • Compensation: $500–$700 USD/month, depending on skills.
  • Role type: Remote contractor, starting with a short paid probationary period (up to two weeks) before an ongoing offer.
  • Growth: reliable performers who take ownership of their work have room to grow into more hours and higher pay over time.
  • Start date: As soon as we find and train the right candidate.
